Event Coordinator

About the role

The Event Coordinator supports the planning, coordination, and successful execution of all club events, including private gatherings, member activities, seasonal programs, and golf‑related functions. The role ensures every logistical detail is managed efficiently to deliver high‑quality experiences that align with the club’s service standards.

Key responsibilities

• Support planning and execution of member‑facing and internal employee events.
• Coordinate event logistics such as layouts, timelines, vendor arrangements, and staff assignments.
• Attend and oversee events to ensure service excellence and adherence to club standards.
• Maintain a visible, approachable presence during events.
• Obtain quotes, secure proposals, and manage contracts with local and international vendors.
• Develop and track event budgets, expenses, and forecasting reports.
• Engage with members to gather event preferences, address inquiries, and incorporate feedback.
• Update and maintain the master events calendar and related documentation.
• Collaborate with other departments to ensure smooth cross‑functional execution.

Required profile

• Minimum of 2 years experience in events, hospitality, or a related field.
• Bilingual in English and Spanish, both written and spoken.
• Ability to work flexible schedules, including evenings.

Required skills

• Event logistics coordination (layouts, timelines, vendor management).
• Vendor contract administration and budgeting.
• Member and guest engagement with professional communication.
