About the role
As the Office Administrator for Arbolus' Costa Rica office, you will manage day‑to‑day administration, payroll, procurement and overall office operations, ensuring smooth support for our international teams.
Key responsibilities
- Prepare and process monthly payroll, including salary changes, overtime, bonuses, commissions and statutory items such as aguinaldo and vacation.
- Handle statutory filings and payments (CCSS, INS, income tax withholding) and support free‑zone compliance reporting.
- Run procurement processes: raise purchase orders, compare quotes, negotiate with suppliers and maintain the vendor database.
- Process supplier invoices and payments, ensuring correct coding, approvals and reconciliations.
- Manage office facilities, equipment, inventory, service contracts, lunch and parking programs.
- Maintain accurate employee and administrative records in line with local labor and data‑protection regulations.
- Coordinate onboarding and off‑boarding logistics with the People team.
- Serve as the primary contact for local providers (accountants, insurers, payroll/benefits vendors) and support audits.
- Identify and implement automation opportunities using AI and new tools, documenting scalable processes.
- Collaborate with Finance, People and Operations colleagues across international offices to align policies and reporting.
Required profile
- 5+ years of administration experience, including independent payroll and office operations management.
- Hands‑on experience with Costa Rican payroll, CCSS, INS, income tax withholding, aguinaldo and vacation.
- Strong knowledge of Costa Rican labor legislation.
- Degree in Accounting, Business Administration or related field.
- Native or fluent Spanish and B1–B2 level English.
Required skills
- Advanced Excel or Google Sheets.
- Experience with payroll software, ERPs or accounting tools.
