Legal Operations Administrator

About the role

The Legal Operations Administrator supports the Legal Department by managing matter setup, keeping accurate legal data, coordinating vendor onboarding and making sure legal operations run smoothly. The role is a key contact for law firms and legal vendors, handling onboarding, invoices and ongoing communication, while also coordinating administrative work, records and expenses.

Key responsibilities

• Set up new legal matters and keep accurate, current information in the department's systems and databases.
• Communicate with internal clients and external parties to collect information and give timely updates.
• Onboard new law firms and legal vendors, complete stakeholder requirements and support invoice-related matters.
• Coordinate departmental activities such as meetings, travel, expense reports, invoice processing and communications.
• Maintain organized electronic files and support improvements to daily efficiency.
• Monitor service of process and make sure matters are properly assigned, documented and tracked.

Required profile

• Bachelor's degree in Business Administration or a related field.
• At least 2 years of experience in data entry, vendor management or a similar administrative support role.
• Professional written and verbal English, able to communicate with internal stakeholders and external legal vendors.
• Experience with legal operations processes, databases, document management systems or outside counsel billing platforms is preferred.
