About the role
Simple Legal Consulting is seeking a full‑time Client Intake, CRM and Reception Coordinator to manage the front‑desk operations of its San José office. The role is the first point of contact for international clients and visitors, handling calls, messages and email inquiries while maintaining accurate client records.
Key responsibilities
- Answer incoming phone calls, WhatsApp messages and emails promptly and professionally.
- Serve as the initial contact for potential and existing clients, gathering basic information and routing inquiries to the legal team.
- Maintain and update the firm’s CRM system with client details, lead status, follow‑up notes and communication history.
- Organise records of inquiries, pending follow‑ups and active leads.
- Support the reception area, ensuring visitors are welcomed and directed appropriately.
- Provide general administrative assistance to the legal and executive teams, including document organisation and file management.
- Handle confidential information with discretion.
Required profile
- Excellent spoken and written English.
- Experience in reception, client service, sales support, or administrative roles, preferably in a legal environment.
- Strong communication skills and a professional phone presence.
- Ability to manage a high volume of calls, messages and inquiries.
- Highly organised with strong attention to detail.
Required skills
- Proficiency with CRM software (ability to learn and manage CRM tools efficiently).
