Accounting Assistant

About the role

You will support Gensler's Accounting team by processing vendor invoices and employee expense reports with accuracy and compliance. The role is essential for maintaining financial controls, supporting project expense compliance, and acting as a point of contact for internal stakeholders and external vendors.

Key responsibilities

• Review and validate vendor invoices for accuracy, documentation, and policy compliance.
• Enter and process invoices in Coupa, applying correct GL accounts, cost centers, and project codes.
• Communicate with external vendors to resolve discrepancies, request missing information, and follow up on payment status.
• Review project‑related expenses to ensure alignment with internal policies and client guidelines.
• Maintain organized supporting documentation for audit readiness.
• Assist the accounting team during monthly close activities related to accounts payable and expenses.
• File and organize all accounting records and download weekly digital files for AP and expense reports.
• Participate in miscellaneous projects as requested.

Required profile

• 3+ years of experience in accounting or accounts payable.
• Degree in accounting, business administration, or a related field.
• Highly organized, detail‑oriented, and able to maintain a high level of accuracy.
• Proactive team player who can work well under pressure with multiple deadlines.
• Strong written and verbal communication skills.
• Cost‑conscious mindset with the ability to scrutinize overhead charges.

Required skills

• Proficiency with Coupa invoice processing system.
• Advanced Excel skills for data entry and analysis.
