Virtual Executive Assistant & Client Care Specialist (Bilingual Spanish/English)

About the role

We are a growing psychotherapy and coaching practice seeking a proactive, detail‑oriented Virtual Executive Assistant & Client Care Specialist. This high‑responsibility, hands‑on position blends executive support, client communication, scheduling, operations, outreach, and social‑media management to keep our organization running smoothly.

Key responsibilities

• Provide phone, text, and web‑based support for clients, handling intake, scheduling, cancellations, and follow‑ups.
• Manage therapist calendars, monitor appointment changes, and keep scheduling systems accurate.
• Assist therapists with administrative tasks, onboarding/offboarding, compliance tracking, and time‑off requests.
• Maintain operational workflows, track projects in Trello (or similar), and update internal documentation.
• Support leadership with coordination, follow‑ups, and execution of priority projects.
• Help with accounts receivable tracking, payment follow‑ups, and billing coordination.
• Conduct outreach to prospective clients, nurture referral relationships, and support community growth.
• Create and schedule engaging social‑media content across multiple platforms, analyze performance metrics, and maintain a consistent brand presence.

Required profile

• Bilingual Spanish/English at C2 level with excellent written and verbal communication.
• Highly organized, proactive, and capable of multitasking in a fast‑paced environment.
• Strong interpersonal skills with a compassionate approach to client care.
• Ability to think strategically while handling detailed operational tasks.

Required skills

• Trello or similar project‑management tools.
• Social media platforms (e.g., Instagram, Facebook, LinkedIn) and content‑calendar management.
