Transportation Maintenance Coordinator

About the role

The Transportation Maintenance Coordinator oversees daily maintenance coordination for a fleet of chassis, containers, and related equipment. Acting as the primary liaison between drivers, dispatch, and approved vendors, the role ensures timely repairs, compliance with Intermodal Equipment Provider (IEP) protocols, and accurate documentation for billing and audit.

Key responsibilities

• Receive and log incoming maintenance requests in the proprietary maintenance management system.
• Match equipment repairs with appropriate IEP‑approved vendors and set up work orders.
• Process vendor invoices, scan and file documentation, and ensure timely payments.
• Verify storage and lift payments against supporting approvals.
• Communicate proactively with drivers, dispatchers, vendors, and internal teams to keep repairs on schedule.
• Track repair status, follow up on outstanding work orders, and minimize equipment downtime.
• Maintain organized records of maintenance activity and highlight recurring issues to leadership.

Required profile

• Minimum 3 years of experience in transportation maintenance coordination, fleet operations, dispatch, logistics, or a similar administrative role.
• High school diploma or GED required; technical coursework or certifications in diesel/heavy equipment, logistics, or business preferred.
• Familiarity with DOT regulations and safety practices is a plus.

Required skills

• Proficiency in Microsoft Excel and strong data‑entry capabilities.
