About the role
The Payroll Tax Specialist will oversee tax compliance across multiple states and entities on a pay‑period basis. Acting as the subject‑matter expert, the role ensures accurate filing, reporting and reconciliation of payroll taxes while supporting quarterly and year‑end processes such as W‑2 preparation.
Key responsibilities
- Monitor, reconcile and support overall payroll tax compliance in a multi‑state, multi‑entity environment each pay period.
- Serve as SME for tax filings, reporting and reconciliation with third‑party tax vendors and government agencies.
- Prepare and review quarterly and year‑end tax reports, including W‑2s and 941 forms.
- Track legislative and regulatory changes, tax equalization rules and recommend process or technology improvements.
- Maintain payroll‑related tax accounts within the vendor system and reconcile them to the general ledger.
- Produce accounting reconciliations, schedules, exhibits and collaborate with Finance on account structure changes.
- Conduct periodic internal audits of payroll tax data and support external audit requests.
- Collaborate with Finance on tax accruals, journal entries and resolve related issues.
- Work with Payroll Specialists and HRIS to create and maintain tax reporting in Workday.
- Develop and maintain specialized tax reports and forms within third‑party tax software.
- Represent the Payroll Tax team on special projects and maintain relationships with tax vendors.
- Audit employee work and residential addresses to ensure correct tax withholdings.
Required profile
- Bilingual candidate with strong knowledge of payroll tax compliance.
- Experience in multi‑state, multi‑entity payroll environments.
- Subject‑matter expertise in tax filings, reporting and reconciliation.
- Ability to work closely with Finance, Accounting and HR teams.
- Preferred FPC or CPP designation.
Required skills
- Workday HRIS platform.
- Third‑party tax vendor software for filing and reporting.
- Payroll tax reconciliation and accounting.
- Preparation of tax forms such as 941 and W‑2.
- Understanding of tax legislation, equalization and audit procedures.
