Order Operations Specialist

About the role

Support sales teams throughout the complete order cycle, ensuring compliance with Smartsheet’s policies and customer needs. This remote position reports to the Manager of Order Operations and is eligible for candidates residing in Costa Rica.

Key responsibilities

• Work within Salesforce.com & CPQ to assist sales, identify system bottlenecks, and maintain data integrity.
• Manage daily approval processes, focusing on SLA adherence and turnaround time metrics.
• Customize order forms and guide complex deals, balancing commercial flexibility with financial risk.
• Collaborate with Finance, Legal, and Professional Services to resolve transaction hurdles and reconcile deal data.
• Identify trends in the Quote‑to‑Cash cycle and implement process improvements to accelerate revenue recognition.
• Adapt to evolving business rules, document new workflows, and train stakeholders.

Required profile

• 2+ years in Order Management, Sales Operations, or Deal Desk with proven KPI achievement.
• 1+ year in a multinational environment, comfortable with global time zones and diverse stakeholders.
• Strong analytical ability to interpret complex contract data and propose data‑driven solutions.
• Metric‑driven mindset with experience tracking error rates, volume trends, and cycle times.
• Adaptability to thrive in high‑growth, constantly changing environments.
• Excellent English communication (B2+), able to translate data issues into clear actions.
