Order Management Specialist – San José, Costa Rica

About the role

The Order Management Specialist ensures the smooth administrative flow of sales orders from intake through to sales recognition and delivery. Working as the single point of contact for logistics and order fulfillment, the specialist resolves escalations and guarantees timely, accurate order processing.

Key responsibilities

• Create and monitor sales orders, both manual and automated, across multiple channels.
• Focus on non‑touchless orders, ensuring they are fulfilled correctly the first time.
• Identify and resolve root causes of order exceptions by coordinating with relevant stakeholders.
• Report on order receipts and status, maintaining up‑to‑date SAP order book data.
• Manage backorders with factories to meet customer requirements.
• Lead weekly order book review meetings between factory and market groups.
• Act as the logistics liaison for assigned order fulfillment scope and handle escalations.
• Screen complex orders for technical and commercial accuracy, manage specials, combined shipments, and DEFOA cases.
• Coordinate customer inquiries and release billing in line with finance policy.

Required profile

• High School Diploma or GED equivalent.
• Minimum 2 years of experience in order management, customer service, or logistics.
• Experience handling sales orders and coordinating logistics.
• Strong understanding of order processing and sales operations.
• Excellent communication, problem‑solving, and organizational abilities.

Required skills

• SAP transaction handling and order book management.
• Proficiency with ERP/CRM systems.
• Microsoft Office Suite (Excel, Word, PowerPoint).
