Villa General Manager / Estate Manager

About the role

Utopia is seeking a highly organized and service‑minded General Manager to oversee the operation of a luxury private villa in Santa Teresa. You will ensure the residence is maintained to impeccable standards year‑round, coordinate vendors and seasonal staff, and deliver a seamless guest experience.

Key responsibilities

• Oversee and coordinate all maintenance and service activities to keep the property in pristine condition throughout the year.
• Build and manage seasonal operational plans for guest use periods and off‑season care.
• Develop and control the annual budget, tracking expenses, vendor contracts, and service quality.
• Lead and supervise external vendors and seasonal staff such as cleaning, gardening, pool, catering, and security.
• Support guest stays by preparing the property before arrival and responding to urgent needs.
• Ensure compliance with local regulations, permits, and safety requirements.
• Provide regular reporting to ownership and suggest improvements for efficiency and guest experience.

Required profile

• 8+ years of experience as a General Manager, Estate Manager, or senior operations role in luxury hospitality or private residences.
• Strong service orientation with a discreet, professional, and guest‑focused mindset.
• Excellent organizational, budgeting, and multi‑vendor management skills.
• Ability to work independently, solve problems under pressure, and anticipate owner and guest needs.
• Fluent communication in English.

Required skills

• Technical understanding of property maintenance, vendor management, and facility operations.
• Familiarity with local compliance, safety regulations, and contractor oversight in Costa Rica.
