Purchasing Specialist – Procurement Operations

About the role

GEP is seeking a Purchasing Specialist to support its Procurement Operations team. The role will handle end‑to‑end purchase requisition processing, supplier selection and vendor master maintenance, ensuring smooth acquisition of goods and services for global clients. You will act as a key liaison between internal stakeholders and external suppliers to keep the supply chain flowing efficiently.

Key responsibilities

• Review purchase requisitions, identify appropriate sources of supply and select contracts or suppliers in line with approved purchasing strategies.
• Determine catalogue availability of requested items and execute predefined actions for non‑catalogue purchases.
• Process purchase orders that are not transacted electronically and resolve any PO/PR processing issues.
• Collaborate with buyers, client groups and suppliers to address delivery issues, claims and shipping date adjustments.
• Research and resolve invoice discrepancies, manage account disbursements and handle damaged or returned goods.
• Maintain and update Vendor Master Records, including new vendor setup and ongoing data accuracy.
• Obtain price information from approved suppliers, generate purchase orders from approved requisitions and route high‑value items to senior buyers when required.
• Execute online events on client systems such as RFPs and auctions, and provide training as needed.
• Generate regular reports on procurement activities and performance metrics.

Required profile

• Proven experience in procurement or purchasing operations.
• Strong understanding of purchase order lifecycle, vendor master data management and invoice reconciliation.
• Ability to work closely with internal stakeholders and external suppliers to resolve issues promptly.
• Excellent attention to detail and organizational skills.
• Effective communication skills for advising customers on modifications and price information.
