Workplace Coordinator

About the role

The Workplace Coordinator ensures smooth daily operations of our office environment, acting as the primary point of contact for visitors, employees, and service providers. This role supports health and safety procedures, manages administrative tasks, and contributes to a welcoming workplace culture.

Key responsibilities

• Answer all incoming calls following company protocols.
• Guide visitors through arrival and departure processes, issue temporary IDs, and manage visitor sign‑in/sign‑out technology.
• Coordinate room reservations and alert logistics staff to any conference‑room issues.
• Handle concierge requests, deliveries, and office supply inventory, including welcome kits.
• Perform administrative duties such as report generation, document control, email handling, and onboarding support.
• Maintain security badges, monitor CCTV alerts, and follow corporate security guidelines.
• Communicate with janitorial, maintenance, and external vendors to address day‑to‑day office needs.
• Support committees, events, promotions, and emergency response teams (ERT).
• Update workplace SOPs and maintain phone lists and other reference materials.

Required profile

• Strong communication skills and professional demeanor.
• Ability to follow detailed health, safety, and security procedures.
• Organized, detail‑oriented, and capable of handling multiple tasks simultaneously.
• Comfortable interacting with internal teams, external visitors, and service providers.

Required skills

• Proficiency in Microsoft Excel for reporting and data management.
• Experience using CCTV monitoring systems.
• Familiarity with visitor management and badge issuance platforms.
• Ability to operate ticketing or request‑tracking systems.
