Distribution Admin Assistant

About the role

The Distribution Admin Assistant supports UPS Global Logistics Distribution by monitoring order flow, resolving issues, and ensuring service commitments are met. You will act as a liaison between customers, internal teams, and external partners to keep shipments on schedule.

Key responsibilities

• Monitor service order activities across multiple order‑management systems.
• Maintain and update operational and performance reports.
• Track inbound and outbound movements and compare scheduled versus actual equipment utilization.
• Investigate and resolve overdue or delayed shipments.
• Record key logistics details such as departure times, destinations, cargo, and expected returns.
• Provide high‑quality customer support and act as the first point of escalation for customer‑related issues.
• Ensure compliance with all Service Level Agreements (SLAs).
• Support special customer requirements and critical dispatch needs.

Required profile

• High school diploma or international equivalent.
• At least 2 years of customer service or dispatch experience in transportation, distribution, or order‑fulfillment.
• Experience in multinational environments with hands‑on supply‑chain knowledge.
• Intermediate proficiency in Microsoft Office (Word, Excel, Outlook).
• Intermediate English; Portuguese is a plus.
• Strong analytical, problem‑solving, and numerical analysis abilities.
• Ability to manage multiple tasks in a fast‑paced environment with high attention to detail.
