Software Procurement Coordinator

About the role

Ulteig is seeking a Software Procurement Coordinator to manage the organization’s software licenses, subscriptions, renewals and related vendor contracts. The role ensures accurate record‑keeping, timely renewals and cost‑optimized licensing while supporting audit readiness.

Key responsibilities

• Maintain centralized records of software assets, contracts, renewal dates, spend, ownership and vendor contacts.
• Manage the renewal calendar, validate requirements, collect quotes, obtain approvals and coordinate purchasing to meet deadlines.
• Analyze usage to identify optimization opportunities such as reclamation, consolidation, co‑terming and cost avoidance.
• Validate renewal proposals, invoices and contract terms against budgets and prior costs.
• Coordinate purchasing, resolve licensing or billing discrepancies and track open actions.
• Support intake, evaluation and purchasing workflows for new software requests.
• Provide regular reporting on upcoming renewals, forecasted spend, utilization, savings and risks.
• Assist with annual budgeting, forecasting and development of lifecycle procedures, templates and automation.

Required profile

• High school diploma; associate degree or relevant coursework is a plus.
• At least two years of experience in procurement, contract administration, software asset management or related functions.
• Strong attention to detail, organization and ability to manage multiple concurrent renewals.
• Excellent written and verbal communication in English (CEFR B2‑C1).
• Legal authorization to work in Costa Rica.
