Medical Scheduling Coordinator

About the role

We are seeking a Medical Scheduling Coordinator to support a U.S.-based healthcare practice. The role involves handling high‑volume patient calls, managing appointment logistics, and ensuring accurate documentation in the EHR while maintaining HIPAA compliance.

Key responsibilities

• Handle high‑volume incoming patient calls and route inquiries appropriately.
• Schedule, reschedule, and cancel appointments based on provider availability.
• Manage provider calendars, waitlists, and recalls.
• Collect and update patient demographic, insurance, and intake information.
• Collect copays, balances, and other payments when required.
• Provide appointment confirmations, reminders, and preparation instructions.
• Document patient interactions and scheduling updates accurately in the EHR.
• Identify and escalate urgent patient concerns to the appropriate team.
• Maintain HIPAA compliance and protect patient information at all times.

Required profile

• Located in the GAM of Costa Rica with a reliable work‑from‑home setup.
• Full‑time availability Monday‑Friday during US business hours.
• 2+ years experience in medical billing and accounts receivable within a US healthcare environment.
• Previous experience in medical scheduling, patient coordination, or healthcare customer service.
• Excellent verbal and written communication skills.
• Strong phone and call‑handling abilities.
• Familiarity with EHR and scheduling systems.
• Understanding of HIPAA and patient confidentiality.
