Product Coordinator

About the role

The Product Coordinator will support the Senior Product Manager in planning and coordinating guest experiences, supplier relationships, and trip logistics for luxury travel expeditions. This fixed‑term role ensures smooth operations and exceptional guest experiences.

Key responsibilities

• Request, organize, and maintain hotel upgrade information from global suppliers.
• Process and confirm suite upgrades, pre‑ and post‑trip accommodations, and package arrangements in internal systems.
• Prepare and maintain trip support materials, manifests, guest reports, and operational documentation.
• Create and update dietary, special occasion, arrival/departure, and amenity reports for personalized guest experiences.
• Maintain accurate product, guest, and operational data across Salesforce and other business systems.
• Monitor destination and travel risk information and support health‑and‑safety reporting.
• Generate and audit operational reports covering hotels, flights, luggage, dietary needs, travel documents, and emergency contacts.
• Support inventory management, track attrition, and assist with supplier communications.
• Coordinate last‑minute changes and provide administrative support for smooth trip execution.
• Assist with special projects and occasional travel to support trip operations.

Required profile

• Experience in an administrative, coordination, operations, or customer‑focused role.
• Strong organizational skills with the ability to manage multiple priorities and deadlines.
• Excellent written and verbal communication abilities.
• High attention to detail and accuracy.
• Proven ability to build positive relationships with colleagues, suppliers, and external partners.
