HR Coordinator

About the role

The Hiring Event Coordinator manages the day‑to‑day operational logistics for local hiring events. This role ensures a professional candidate experience, seamless check‑in processes, and real‑time coordination between recruiters, hiring managers, and venue vendors.

Key responsibilities

• Set up check‑in stations, directional signage, candidate waiting areas, and private interview spaces prior to event start.
• Manage candidate registration and flow, ensuring job seekers move smoothly from check‑in to interviews without bottlenecks.
• Serve as the primary on‑site contact for venue staff, equipment vendors, catering, and security teams.
• Provide administrative support to recruiters by tracking schedules, verifying candidate documents, and logging check‑in data into the ATS.
• Troubleshoot real‑time logistical issues, equipment needs, or space adjustments during the event.
• Oversee event breakdown and return of event materials and confidential documents.

Required profile

• Experience in event coordination, administrative support, or HR/recruitment operations.
• Excellent organizational, multi‑tasking, and time‑management skills.
• Strong interpersonal skills with a candidate‑first mindset.

Required skills

• Proficiency with ATS platforms and tablet check‑in software.
• Proficiency with Microsoft Office and Google Workspace.
