Executive Sales & Administrative Assistant

About the role

The Executive Sales & Administrative Assistant supports the Chief Sales Officer and the sales team throughout the full sales cycle. This proactive partner safeguards leadership time, maintains accurate information across systems, and helps the team operate with speed, consistency, and strong client service.

Key responsibilities

• Answer incoming sales calls and respond promptly to client and prospect communications.
• Distribute leads to Account Executives, keep CRM/Acumatica records up‑to‑date, and track follow‑up tasks.
• Build, verify, and finalize quotes, ensuring margin requirements and routing them for review.
• Convert signed quotes into sales orders, complete required steps, and coordinate purchase‑order requests.
• Monitor the sales pipeline, daily conversion rates, and AE activity; prepare weekly pipeline, KPI, and performance reports.
• Track quote and proposal pipelines, analyze win/loss trends, and conduct quarterly pipeline audits.
• Coordinate RFP responses, manage deadlines, and gather information for business‑development initiatives.
• Facilitate new‑client onboarding and maintain clear communication across departments.
