Event Coordinator

About the role

The Event Coordinator will support the planning, coordination, and execution of all club events, including private gatherings, member activities, seasonal programs, and golf‑related functions. This position ensures every logistical detail is managed efficiently to deliver high‑quality experiences that reflect the club’s service standards.

Key responsibilities

• Plan and execute member‑facing events and assist with internal employee events.
• Coordinate event logistics such as layouts, timelines, vendor arrangements, and staff assignments.
• Attend events to ensure service excellence and adherence to club standards.
• Obtain quotes, secure proposals, and manage contracts with local and international vendors.
• Maintain vendor files, pricing, and event history.
• Assist in developing event budgets, track expenses, and prepare forecasting reports.
• Engage with members to gather event preferences, address inquiries, and incorporate feedback.
• Update the master events calendar and prepare accurate documentation and reports.
• Collaborate with other departments to ensure smooth cross‑functional execution.

Required profile

• Minimum 2 years of experience in events, hospitality, or a related field.
• Bilingual fluency in English and Spanish, both written and spoken.
• Positive, solution‑oriented mindset with strong attention to detail.
• Flexible and adaptable in a fast‑paced environment.
• Professional communication and culturally sensitive conduct.
