About the role
Align, a leader in dental and orthodontic medical devices, is seeking an Administrative Assistant to ensure smooth day‑to‑day office operations and provide comprehensive administrative support. This individual contributor role will act as a key operational partner for employees, leaders, and cross‑functional teams.
Key responsibilities
- Manage daily office administration, facilities, and related services.
- Coordinate family‑related support processes such as benefits administration and employee services.
- Serve as primary contact for office and family administration inquiries, escalating issues when needed.
- Liaise with Facilities, HR, Finance, IT, and external vendors to ensure timely service delivery.
- Maintain accurate records, documentation, and reports while safeguarding confidentiality.
- Support onboarding and off‑boarding logistics, including travel, accommodation, and equipment.
- Assist with budget tracking, invoice processing, and purchase requests for office services.
- Organise internal and external events, meetings, and employee activities.
- Coordinate customer‑facing activities, field visit planning, and related communications.
- Identify opportunities for process improvement and ensure compliance with internal policies and local regulations.
Required profile
- Proactive, highly organized, and detail‑oriented.
- Excellent communication skills and ability to handle confidential information.
- Strong multitasking abilities and collaborative mindset.
- Experience in office administration or a similar support role.
- Familiarity with local regulations and company policies.
